Job Description Summary Â

The Assistant Program Administrator is responsible for providing staff training, mentoring and supervision of 10-40 in-direct reports, or based on program needs. The Assistant Program Administrator will need to be able to provide program oversight, quality assurance, maintain CA regulations, oversee clinical programming, be an advocate for the people we support and be a liaison with families. Â

Key responsibilities: Â

  • Ensuring health, safety, and habilitation of the people we support consistent with agency philosophy and department practices. Â

  • Provide assistance to the Program Administrator Â

  • Ensuring the appropriate , therapeutically documented level of supervision in the residence, day program or community to ensure and protect the health and/or safety of the people we support. Â

  • Providing program/floor coverage, when necessary. Â

  • Promoting and maintaining the excellence of the programs Â

  • Developing professional, empathic relationships with family members ensuring they are included in the team process.  Â

  • Supporting and facilitating interdisciplinary team meetings and staff meetings to ensure effective communication. Attending and actively participating in the planning meeting for the people we support. Â

  • Support and foster interagency collaboration. Â

  • Working with leadership to bring the organizational culture to life Â

  • Ensuring a work environment that is free from harassment and discrimination. Â

  • Playing an active role in the hiring process; interviewing and selecting appropriate staff based on program needs. Â

  • Maintaining a supportive relationship with staff Â

  • Building staff morale Â

  • Fostering professional development through regular supervision, training, and assisting with evaluations. Â

  • Supervising staff to ensure they are meeting the needs of the people we support and agency standards. Â

  • Utilizing participatory management Â

  • Fostering the Open-Door Policy Â

  • Maintaining oversight and compliance of systems specific to role and responsibilities Â

  • Fostering communication and maintaining professionalism between relevant supports including those within the program, within the agency, and supports outside the agency Â

  • Supporting the operation of the program within budgetary guidelines. Â

  • Maintaining a safe environment for staff and the people we support and reporting any hazardous conditions. Â

  • Supporting the completion and maintenance of all paperwork and written records related to individual treatment. This includes but is not limited to medical records, treatment records, progress reports, data collection, behavior reports, incident reports, billing records, and all written communication systems. Â

  • Reporting and monitoring incidents, as well as assist with the investigative process. Â

  • Required to perform your responsibilities as they currently exist or may change in meeting the needs of the department, under the supervision of your supervisor/manager. Â

  • Provide indirect support to all facility staff with the ability to work a flexible schedule, including overnight and weekend shifts. Â

Salary Range: $65,000 - $75,000

Education and Experience: Â

  • BA/BS strongly preferred Â

  • Valid Group Home, RBT, DSP 1, DSP 2 certifications. Â

  • Prior supervisory experience required , preferably in a crisis residential setting. Â

  • Minimum of 6 months Direct Support Professional experience Â

  • Background in supporting people with intellectual/developmental disabilities and mental health preferred Â

Additional Knowledge, Skills and Abilities: Â

  • Strong interpersonal and problem-solving skills Â

  • Well-developed writing skills Â

  • Takes initiative Â

  • Highly flexible Â

  • Valid Drivers License - depending on location Â

  • Flexibility to respond to calls and programmatic needs beyond regular work hours Â

  • Proficient in Microsoft Office Â

  • Ability to learn/use Workforce Management software to effectively carry out essential business processes Â
